Supplier Relations Executive Overview:

We are looking for a full-time (40 hours per week) Supplier Relations Executive who can support our growing Procurement Team. As the Supplier Relations Executive, you will have a diverse and varied role. You’ll collaborate with our global teams to support company initiatives and uncover innovative solutions, while taking a proactive approach to your day-to-day responsibilities.

Responsibilities & Duties:

  • Proactively deliver full departmental support whilst providing high service level, at all times

  • Coordinate shareholders, directors and support employee business travel requiring US accommodations in line with the TAG business travel policy

  • Coordinate supplier office visits and agents’ presentations and liaise with other US offices to obtain their appointments; meet and greet catering deliveries, off-site events, FAM trips

  • Coordinate employee attendance to all in-house supplier training sessions, presentations, FAM trips and supplier functions; assist with the distribution of supplier information to all employees; attend all in-house supplier training sessions, presentations and meetings, when required

  • Produce procurement reports as required and begin to analyse data, learn about the ground rev report and how to make recommendations

  • Keep a log of Hotel Reward Points and properly allocate the Hotel Reward Points when needed towards directors or employee travel; to include a full audit procedure

  • Actively research and keep up with hotels news, anything relevant worth broadcasting, new hotel openings, especially in Los Angeles, New York, Atlanta, Nashville, and Orlando

  • Continuously collect and update preferred supplier contacts and correct supplier information for storage in the relevant database system, QC new hotel loads entries, assist with new loads, edits, or updates; update preferred suppliers’ keynotes or hotels that need to be on red alert

  • Liaise and assist, when needed, to complete the Hotel Chain Certification programme (e.g. Marriott) in a timely manner

  • Continually develop and maintain excellent professional relationships with all levels of suppliers by attending events and supplier training

  • Process GDS rate loading by forwarding loading information to approved hotel partners, perform rate audit, update TAGdesktop activities notes

  • Assist finance commissions team in contacting preferred suppliers in case of unsuccessful efforts to collect past due invoices

  • Expand the level of supplier relationships to be able to assist with waivers and favours

  • Adhere to PCI regulations in accordance with company policy

  • Assists in training of new employees at assistant level

  • Perform other duties as assigned

Qualifications:

  • BS or BA degree; or in lieu of education, equivalent combination of education and directly related experience

  • One year of administrative experience in a corporate environment 

  • One year of travel management experience 

  • Experience with Meeting Planner Points

  • One year of experience with GDS (preferred) 

  • Intermediate proficiency in Microsoft Office Suite

  • Good negotiation, problem-solving skills and good judgment

  • Geographical knowledge

  • Superior customer service skills with a positive and proactive attitude to clients, suppliers and colleagues

  • Ability to work independently and within a team environment and to accept instructions or directions and see through to completion
