Travel Coordinator Overview:
We are looking for a full-time (40 hours per week) Travel Coordinator who can support our growing Production department. As a Travel Coordinator, you will have a diverse and varied role. You’ll collaborate with our global teams to support company initiatives and uncover innovative solutions, while taking a proactive approach to your day-to-day responsibilities.
Responsibilities & Duties:
Deliver exceptional customer service while coordinating a variety of administrative tasks related to client travel requirements within the Production department
Manage delegated tasks within agreed timeframes, ensuring a clear understanding of requirements and responding to all communications proactively, efficiently, accurately, and professionally
Process administrative tasks related to enquiries, requests, bookings, and ticketing with a high level of accuracy and attention to detail. Ensure all air, rail, hotel, and ancillary reservations meet both company and client expectations
Develop and maintain knowledge of fares, negotiated contracts, ticketing processes, and reissues
Support the logging of client and supplier favors, as well as the reporting and investigation of errors or client complaints to help achieve satisfactory resolutions
Create and maintain movement and flight sheets, ensuring all Production procedures are followed consistently
Assist in the onboarding and training of new assistant-level team members
Build and maintain strong client and supplier relationships, ensuring the highest standards of personalized service are consistently delivered
Negotiate competitive supplier rates and actively identify opportunities to maximize savings, improve company profitability, reduce client expenditure, and communicate achieved savings effectively
Carry out additional duties and responsibilities as assigned
Qualifications:
High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred
Minimum of 1 year of experience as a Travel Assistant or within a travel agency environment required, with 2–3 years of experience preferred
Previous experience working with a GDS system required, with Galileo experience preferred
Strong organizational, multitasking, and time-management skills, with the ability to prioritize workload, meet deadlines, and work effectively in a fast-paced, high-pressure environment
Intermediate proficiency in Microsoft Office Suite, along with strong verbal and written communication skills
Detail-oriented with the ability to work both independently and collaboratively within a team environment, follow direction, and see tasks through to completion
