How to manage your flights/travel during adverse weather conditions

Our dedicated corporate agents have put in place the below plan to ensure that they can provide the best possible service in these situations:

  1. Manage my booking

Check the status of your flight – this can be done through “Manage my Booking” on your airline’s website using your airline booking reference.

In addition you can also check the live departure boards from the airport websites. For example http://www.heathrow.com/departures

  1. Rebooking policy
  • If your flight is cancelled or affected by extreme weather, please check the airline’s rebooking policy. This will be on their website or your travel executive can advise you. Usually the airline will permit a free date change to any flight within a certain time frame, in the same cabin, on the same route, or they will permit a full refund.
  • In case you flight has been officially cancelled, please contact your Travel Executive to arrange alternative travel plans and please do not make your way to the airport.

NB: In case weather or any other matter is causing delays, please allow extra time making your way to the airport and going through security. Events such as these are likely to affect the overall operation of an airport.

  1. Travel Insurance

In the case of extreme weather, if your flight does leave as scheduled then it is your responsibility to get to the airport on time. If you are unable to get to the airport because of extreme weather then your travel insurance may cover you.

Not all travel disasters are covered under standard policies so it is important to check your (corporate) policy’s small print and you can verify exactly what is covered before you purchase any insurance plans.

NB: Insurance companies will often require proof that your travel arrangements were cancelled and were out of your or your airline's control.

In addition, in case of cancellations The Appointment Group Travel Executives will inform travellers as soon as the information becomes available to them.

Furthermore, the Global Services team will send out Travel Bulletins in case of an Emergency to advise travellers as quickly as possible.
