Travel & Events Assistant

We are looking for a full-time (37.5 hours per week) Travel & Events Assistant who can support our growing private travel department. As a Travel & Events Assistant, you will have a diverse and varied role. You’ll collaborate with our global teams to support company initiatives and uncover innovative solutions, while taking a proactive approach to your day-to-day responsibilities.
Responsibilities & Duties:
- Assist in understanding event objectives, target audience and client requirements
- Support event managers in coordinating and developing end-to-end event logistics, venue selection, vendor management and on-site execution
- Respond to client communications proactively, efficiently and accurately, ensuring high service standards
- Support vendor and supplier negotiations, managing contracts and ensuring cost-effective solutions
- Maintain accurate event documentation and ensure all bookings, schedules, and materials are properly recorded
- Coordinate event materials, branding, and promotional content, as needed
- Provide high level of assistance in all aspects of the management of client travel requirements
- Assist in managing client relationships, identifying additional business opportunities, and supporting new client acquisition
- Provide administrative support, including processing accounting queries and supporting the finance department with final reconciliation
- Ensure compliance with health and safety regulations for managed events
- Attend FAM trips, proactively research, and continually expand knowledge of venues, properties and destinations
- Support post-event evaluations, gathering feedback and reporting on event success metrics
- Perform other duties as assigned
Qualifications:
- High school diploma or equivalent
- Travel diploma or experience within the travel industry
- Minimum of one year of administrative experience in a corporate environment
- Intermediate proficiency in Microsoft Suite
- Ability to adapt to a changing environment, to work in a pressurised and demanding environment, to work to agreed deadlines, prioritise workload and have a strong attention to detail
