The What  

As an Event Travel Specialist you will have a diverse and varied role. Here are just some of the things you’ll be getting involved with:  

  • Independently manage client travel requirements for planned events. Anticipate and understand individual client preferences and needs. Analyze all inquiries and requests received from clients and provide expert advice on the best options to offer for air, hotel, and grounds transportation requirements
  • Assist the Event Managers in the planning of client events according to requirements, target audience and objectives. Provide expert advice and counsel on complicated flight itineraries, event travel requirements and planning
  • Mentor / supervise team members to complete administrative tasks. Advise on complicated itineraries, airfares and process to ensure smooth running of the events department and client support
  • Formulate complex, logistical itinerary plans to deliver practical travel solutions for each event, ensuring that budgets and specific requirements are met
  • Fully service all enquiries, requests, bookings and ticketing with the highest standards and quality documentation.  Ensure all air, rail, hotel and/or other ancillary reservations meet company and client expectations, ensuring client and booking files are maintained in relevant systems
  • Report, investigate and resolve errors or/and client complaints adhering to the highest standards of customer service. Mitigate any financial loss through individual and avoidable error
  • Process reissues and pricing records accurately and manage Quality Control (QC) procedures and tasks
  • Complete all TAG systems and respond to all communications proactively, promptly, efficiently, and accurately. Ensure PNRs in Galileo are correct and fully completed
  • With the Events team, take responsibility for ensuring the health and safety aspects of managed events
  • Source and negotiate the best rates from vendors and suppliers and actively seek to maximise savings, reduce client expenditure, and increase company profitability
  • Manage existing clients effectively, creating and leveraging opportunities to generate additional business from existing clients and assisting in generating business from new clients
  • Process administrative tasks including accounting queries from both the client and Finance department through to final reconciliation. Assess client credit levels, if applicable, and work in conjunction with the Finance department to ensure payments are received
  • Demonstrate attention to detail so that errors are reduced and kept to a minimum
  • Proactively seek ways to improve functionality for the department by suggesting ideas for improved practices
  • Ensure all tasks are responded to, processed and completed promptly, accurately, and within deadlines
  • Bring any areas of concern or potential problems to the immediate attention of the line manager
  • Show professionalism at all times and promote positive working relationships with all levels of staff across the department
  • Attend FAM trips, pro-actively research, and continually expand knowledge and understanding of the Events industry, including venues, properties, and destinations
  • Adhere to PCI regulations in accordance with Company policy

As an Event Travel Specialist there are several credentials and attributes which would be advantageous, but a determined attitude and willingness to learn, are equally important. 

  • Travel and Tourism certificate or degree OR in lieu of education, equivalent combination of education and directly related experience
  • 4+ years of experience in a Travel Consulting role
  • Event management/coordination experience desired
  • Strong knowledge and understanding of international and domestic airfares, contracted fares, ticketing and reissues
  • GDS experience (Galileo/Travelport preferred)
  • Versed in booking flights, hotels and good understanding of published airfares
  • Ability to work independently or within a team
  • Ability to mentor/supervise junior team members
  • Ability to adapt to a changing environment, to work in a pressurized and demanding environment, to work to agreed deadlines and be able to prioritize workload
  • Proactive and self-starter
  • Excellent customer service and negotiation skills
  • Problem-solving and multitasking skills with the ability to think outside of the box
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Advanced knowledge of Microsoft Office Suite

The Where and When

This is a full-time role (37.5 hours per week) based in our Sydney office. Since March 2020, we have operated a flexible, hybrid approach to working and will continue to do this moving forward. We will work with you to find the best mix of office and home working that suits your life and the needs of the team.

You will report into the Event Director, who is based in Sydney. There are other regional teams based in Singapore, UK and the US that you may work closely with, too.
