The What  

As a Senior Event Manager you will have a diverse and varied role. Here are just some of the things you’ll be getting involved with:  

Event Management and Procedures

  • Follow all event procedures to manage a variety of large and mid-size events autonomously and simultaneously with a personalised and individual approach to each client
  • Delegate responsibility to non-Senior team members to manage specific elements for larger events as required
  • Maintain up-to-date action lists using reminders and other tools to ensure deadlines are met
  • View events from the client’s perspective, be ‘ahead of the game’ to proactively analyse information to anticipate client requirements
  • Identify potential issues and offer redress or new or improved ideas
  • Assist with operational planning relating to end to end internal organisational procedures
  • Make autonomous decisions within event planning and recognise when to seek support or advice
  • Train, mentor and motivate team members to ensure shared knowledge and consistency in event planning and delivery
  • Inspire and cultivate a ‘can-do’, willing, and positive attitude in the team

Event Delivery

  • Manage onsite delivery for a wide range of events, dealing with late changes and challenges calmly and professionally, and ensure good client liaison for swift information and updates
  • Lead onsite teams and daily team meetings to communicate rotas, key deliverables, and task responsibilities, ensuring the wellbeing of all team members
  • Set an example to deliver events proactively, positively and passionately
  • Ensure suppliers follow TAG’s protocols to provide successful events in a positive manner
  • Coordinate onsite team lieu/paid days and late work starts following an event
  • Track budgets against allocated expenditure and obtain client approval for additional spend
  • Record key event statistics including attendance
  • Check hotel and supplier invoices prior to departure where possible

Client Relationships and Business Development

  • Develop and sustain strong client relationships by proactively offering and delivering consistently high service levels
  • Assist in the development of sales collateral and templates for efficient sales cycle process 
  • Research, write and design quality, creative proposals to meet client requirements and win business
  • Present event proposals confidently and enthusiastically to build and gain client trust
  • Help generate repeat business from the existing client-base and actively seek opportunities for gaining new business through networking and client recommendations
  • Alert the Event Director to any potential cross-divisional leads and referrals for other TAG divisions across all territories
  • Investigate new business opportunities with clients and develop the scale of existing contracts

Commercial Decision Making

  • Make good commercial decisions in all aspects of responsibility
  • Balance time and work required in relation to profitability of an event
  • Reflect and learn from each event, taking advice or feedback from others and share ideas

Supplier Management and Relationships

  • Develop strong supplier relationships to ensure TAG receives the best possible service and event support
  • Negotiate the best rates from suppliers and actively seek to maximise savings, reduce client expenditure and increase company profitability
  • Effectively manage any suppliers and supplier partners involved with an event, ensuring close supervision, consistency, excellent communication and attention to detail within the project, and to ensure client requirements are being met

Travel Management and Delegate Registration

  • Manage the components of flight management for an event
  • Manage the delegate registration platforms for an event
  • Manage email filing and action lists within a client inbox
  • Use delegate registration packages to help build websites, design and send emails, and pull and edit reports

Financial Management

  • Manage all associated costs for an event and where responsible for elements of larger events, including supplier costs, commissions, margins and foreign exchange
  • Maintain client and TAG budgets in GBP and other currencies
  • Ensure value for money for the client and from suppliers
  • Keep accurate financial records and complete TAG Desktop tasks to create/update files, raise commission invoices and answer queries from the Finance team
  • Manage full post-event financial management including all related invoicing, correspondence, and reconciliation

Teamwork and Support

  • Work independently on large and mid-size Events and seek support as and when needed
  • Offer support to other team members working on larger events
  • Support departmental management by handling staff questions and minor issues – raise any concerns to line managers
  • Participate in departmental brainstorming and marketing activities
  • Propose new initiatives to build team morale and improve processes and efficiencies
  • Collaborate with all divisions and TAG colleagues to facilitate a teamwork mentality across the business
  • Engage with employee initiatives and events teams and other staff in global territories
     

Personal Development

  • Attend agreed and relevant trade shows, familiarisations, supplier presentations and networking receptions
  • Be proactive in developing or expanding comprehensive industry knowledge and event management skills
  • Maintain strong global awareness of locations, venues and vendors, etc.
     

Other / General

  • Uphold TAG values and TAG’s reputation for high service levels, work ethic, working practices and always represent TAG with professionalism
  • Bring any issues to the immediate attention of relevant TAG Event team management
  • Escalate anything of significant concern directly to the Director of Events
  • Perform other duties as may be assigned from time to time

As a Senior Event Manager there are several credentials and attributes which would be advantageous, but a determined attitude and willingness to learn, are equally important. 

  • Degree in Event Management or similar field OR in lieu of education, equivalent combination of education and directly related experience
  • Extensive Event management and Event agency experience
  • Comprehensive knowledge of the Event industry
  • Successful Event management with high client satisfaction
  • Proven record of working in a fast-paced environment
  • Skilled user of Microsoft Office Suite and fast-learner of other software packages
  • Experience of managing team members, delegating responsibility and overseeing workloads
  • Experience working within registrant platforms, preferably Events Air
  • Consultative approach with the ability to collaborate and build strong rapport with colleagues, clients and suppliers
  • Professional, service-driven, and skilled communication with a variety of people and target audiences
  • Able to interchange autonomous independent work with departmental or Company teamwork and supporting the Events team
  • Self-motivated and proactive with personal development to expand and maintain Event management expertise
  • Strong project management, organisation and prioritisation skills with an appreciation for timely responses/actions and meeting strict deadlines
  • Ability to work on simultaneous projects, handling changing priorities with a calm and considered approach under pressure and continued enthusiasm
  • Consistent attention to detail and high levels of accuracy while following all departmental, company and industry processes and procedures
  • Skilled negotiation with ability to demonstrate awareness of financial management and good commercial judgement
  • Able to analyse, problem solve, seek solutions and suggest improved practices 
  • Flexibility to working hours and days in consideration of dates and times for client Events and TAG global offices based across different time zones


The Where and When 

This is a full-time role (37.5 hours per week) based in our Sydney office. Since March 2020, we have operated a flexible, hybrid approach to working and will continue to do this moving forward. We will work with you to find the best mix of office and home working that suits your life and the needs of the team.  

You will report into the Event Director, who is based in Sydney. There are other regional teams based in New Zealand, Singapore, UK and the US that you may work closely with, too.
